Jobs description of Charlbury CC roles within the club. 

Trustees:

  • To oversee that correct procedures are in place.
  • To ensure that the club is being managed correctly, both on day to day issues and financially.
  • Making suggestions to the Management Committee if necessary.
  • To meet for a minimum of 4 meetings per annum.

President

  • A senior representative of the club/organisation who will ensure the Management Committee acts in the best interests of the club.
  • To make arrangements and preside over the annual ‘Presidents Day’, generally held on a Sunday in June.

Club Chair

  • To chair all Management Committee Meetings, issue agendas, date/venue and monitor their efficiency and effectiveness.
  • To provide advice and guidance to other officers and communicate with other members of the club.
  • To attend Trustees Meetings when invited and necessary.
  • To call the AGM and any other necessary extra-ordinary meetings if required.
  • Responsible for the hiring of ground/pitches (County Games etc)

Vice Chairman

  • To support the Chairman in all his duties and act on his behalf during any absence.

Club Secretary

  • To carry out all duties as instructed by the Chairman and Management Committee.
  • To keep all officers and members informed of all relevant decisions and events.
  • To bring to the attention of the Chairman and Management Committee all relevant correspondence from  OCB/ECB/Leagues/Clubs at the earliest opportunity.
  • To ensure that the Club website is updated regularly and the circulation of a monthly newsletter.
  • Update on Club Mark and general compliance issues.

Treasurer

  • To receive all monies on behalf of the club and bank accordingly.
  • To settle all accounts by cheque or direct payment.
  • To prepare and present a monthly financial statement for the Trustees and Chairman.
  • To attend Management Meetings and present a financial report.
  • To prepare and present audited accounts annually, and ensure that the accountants keep within strict time schedules and submit the annual charity return.

Minute Secretary (Not part of the MC)

  • To attend Management Committee Meetings and AGM to record and publish the proceedings of the meeting.

Grounds Manager
 

  • To oversee the work of the ground staff and ensuring that the pitches are prepared for the arranged games.
  • To arrange the opening and closing down on the grounds at the start and end of the season.
  • To be point of contact for resolving any queries or complaints raised by club captains or others relating to grounds.

Bar & Facilities Manager(s)

  • Responsible for running the bar, including ordering of stock and all maintenance as required.
  • To ensure that adequate staff are available at all times.
  • To ensure that ‘regulations’ are strictly adhered to.
  • To ensure that the bar is left clean and tidy and monies/credit slips removed from till to the safe.
  • If and when ‘cricket teas’ are required, arrange the necessary staffing.


Club Cricket Manager

  • To be responsible for ALL aspects of Adult club cricket, liaising with the Chairman of the Youth Section and Women’s Cricket Manager.
  • Organise and oversee coaching and net sessions in conjunction with the team captains, including the Women’s section.
  • Responsible for Adult cricket selection policy, working closely with captains on player selections.

Chair of Management Committee

  • Arrange for Management Meetings to take place on a regular basis, prepare the agenda and chair the meeting. (See under Club Chairman)

CCC Website/Membership Secretary & GDP

  • To be responsible for all aspects of the CCC website, updating as required
  • Provide log-on passwords for ‘officers of the club’
  • To ensure that the membership details are updated, and that members have paid their annual fees.
  • To advise the team captains of fees that are outstanding.
  • To ensure that the GDP is clearly displayed on the website and advise of any changes to this.

Club Safeguarding Officer

  • Undertake the ECB Safe Hands training every three years
  • Undertake CPD and attend Safeguarding forums as applicable.
  • Verified ECB DBS check – annually
  • To be an ECB DBS verifier.
  • Promote and maintain ECB safeguarding guidance.
  • Ensure that possible matters of child protection/safeguarding are reported or referred to relevant agencies (County Cricket Board, ECB or Police) as required
  • Source of advice and support on current best practice in safeguarding to the Club and its members. This includes advising CCC Management Committee which posts require vetting checks
  • Represent & report on Club Safeguarding matters at CCC Management Committee meetings on a regular basis
  • Liaise with Head of Youth Cricket over any medical or safeguarding issues amongst Junior cricketers and vulnerable adults at the club
  • Liaise with the County Safeguarding Officer as required
  • Co-ordinate and maintain Club Mark registration on an annual basis, liaising with the Club Secretary.
  • Maintain secure, accurate records

Health & Safety Officer

  • To ensure that the Health & Safety Policy is fully up to date and implemented.
  • To ensure that the correct H & S Signage is in place.
  • To ensure that there is an ‘Accident Book’ available and is being used.
  • To be able to call a meeting of the Management Committee should this be deemed to be necessary?

Projects Committee Chairman

  • To call and chair a meeting of the Projects Committee as and when necessary.
  • To cost any projects and present to the Management Committee.
  • To oversee costs and progress of any projects taking place.

Youth Cricket Chairman

  • Responsible for all aspects of the Youth Section of CCC, liaising with the Club Cricket Manager for the Adults section.
  • Report on Junior Section at CCC Management Committee meetings
  • Check Oxfordshire Youth League structures when published and respond as required
  • Complete Entry forms for the following season’s Oxfordshire Youth Leagues
  • Arrange Coaches & Team Managers for each age group for coming season. Agree their responsibilities for the coming season
  • Attend junior enrolment evenings and be available to talk to parents and prospective members
  • Ensure all junior coaching sessions are adequately staffed
  • Ensure that the younger age groups have a bag of kit to take to matches (bats, pads, helmets etc)
  • Do a stock take of all kit and liaise with Management Committee to purchase anything which is required for the following season
  • Arrange for the Winter Net Sessions to be booked and liaise with the Club Cricket Manager to ensure there are enough attendees so at least break even on cost.

League Registration Secretary

  • To draw up a list of players pre-season and register all players with the Cherwell League:
  • Update the list throughout the season, advising the league of any changes.

Mid-week ‘Friendly’ Fixtures

  • Arrange various ‘friendly’ evening games, advising the Ground Chairman/Fixture Secretary of dates, times and pitch requirements:
  • List these fixtures in the Grounds Fixtures Diary.
  • If offering a ‘supper’, arrange for the catering and bar facilities to be available: (See contact under Bar & Facilities)

Grounds Hire & Fixtures Secretary

  • To agree hire dates and charges, and list them in the Grounds Fixture Diary
  • To arrange with Club Secretary to send invoice for ground hire.

Umpire Secretary

  • To draw up umpire rotas to cover all the required matches in the Cherwell League and advise the umpires of dates, venues etc.
  • Advise the league of the umpires attending the matches.

Social Secretary

  • To suggest and arrange social events, with the help of other members and sub-committees.
  • To suggest and follow through and co-ordinate ideas for ‘advertising’ at the club.

Players Representative

  • To act as a ‘representative’ between players and management and report any concerns in the first instance to the Club Chairman:

Club Captains: 1st team

  • As 1st team & Club Captain be a positive role model for all members of the club, on and off the field of play.
  • To attend Selection Committee Meetings, in conjunction with all captains, selecting teams for all senior matches on a weekly basis, ensuring that the Selection Guidelines are followed.
  • Attend the Annual General Meeting and report on the season.
  • Attend League Captains’ Meetings and League AGM Meetings
  • Maintain harmonious relations between the respective league captains and discipline on the field of play.
  • Responsible for liaising with the Club Management Committee for ordering appropriate numbers of League balls.
  • Making sure teas are organised (if applicable)
  • Timely submission of league match results
  • For the timely collection of subscriptions, and chasing of late payers.
  • Liaise with Grounds Manager when necessary.
  • Communicating with fellow team members, and providing support and advice where needed.
  • Encouraging club members to be involved in social and voluntary activities
  • Assist with preparation of club facilities at the beginning of the season
  • Organise winter nets, liaising with the Club Cricket Manager.
  • Organise Awards Night, awards winner selection and engraving of trophies
  • Discuss with the President a team for the President’s XI and captain the game on his behalf.
  • Maintaining a stock of match fee envelopes.

2nd team captain

  • As 2nd team captain be a positive role model for all members of the club, on and off the field of play.
  • To attend Selection Committee Meetings, in conjunction with all captains, selecting teams for all senior matches on a weekly basis, ensuring that the Selection Guidelines are followed.
  • Attend CCC meetings if invited and the AGM.
  • Maintain harmonious relations between the respective league captains and discipline on the field of play.
  • Making sure teas are organised (if applicable)
  • Timely submission of league match results
  • For the timely collection of subscriptions, and chasing of late payers.
  • Communicating with fellow team members, and providing support and advice where needed.
  • Encouraging club members to be involved in social and voluntary activities
  • Assist with preparation of club facilities at the beginning of the season

3rd team captain

  • As 3rd team captain be a positive role model for all members of the club, on and off the field of play.

  • Responsible for all aspects of the Women’s Team, liaising with the CCC Cricket Manager and the Youth Chairman.
  • Arrange coaching and net sessions for the team.
  • Provide reports on Women’s Cricket to the Management Committee meetings.
  • Deal with all correspondence relating to the Women’s Team.
  • Organise Awards Night, awards winner selection and engraving of trophies.

Ladies Team captain

  • As Women’s team captain be a positive role model for all members of the club, on and off the field of play.
  • To attend Selection Committee Meetings, in conjunction with all captains, selecting teams for all Women’s matches on a weekly basis, ensuring that the Selection Guidelines are followed.
  • Attend CCC meetings if invited and the AGM.
  • Maintain harmonious relations between the respective league captains and discipline on the field of play.
  • Making sure teas are organised (if applicable)
  • Timely submission of league match results
  • For the timely collection of subscriptions, and chasing of late payers.
  • Communicating with fellow team members, and providing support and advice where needed.
  • Encouraging club members to be involved in social and voluntary activities
  • Assist with preparation of club facilities at the beginning of the season

Club Cleaner

  • To maintain the cleanliness of the pavilion including the pavilion lounge, changing rooms and showers.
  • Particular attention to cleaning following the Youth training on a Friday and after the Saturday fixtures.
  • Report any problems or concerns to the Club Maintenance Officer.
  • Submit your invoice for hours worked to the Club Treasurer.

Club Maintenance Manager

  • Responsible for all maintenance issues with the pavilion and surrounding areas, delegating work to members as necessary.
  • Organising a work schedule for the annual ‘Cricket Force Weekend’ and arranging work parties for Saturdays and Sundays.
